Fieldbase LLC ("Fieldbase," "we," "us," or "our") operates the Fieldbase platform, including the website at fieldbasehq.com and related mobile and web applications (collectively, the "Service"). This Privacy Policy describes how we collect, use, disclose, and protect your personal information when you use the Service.

By using the Service, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Service.

1. Information We Collect

We collect information in the following categories:

(a) Account Information

When you or your employer creates an account, we collect: name, email address, phone number, company name, job title or role, and login credentials.

(b) Employment and Workforce Data

The Service is designed for employers to manage their workforce. Depending on how your employer uses Fieldbase, we may process: work schedules and shift assignments, time and attendance records, team assignments and crew memberships, job site information, and task or work order details.

(c) Location Data

If location features are enabled by your employer, we may collect precise geolocation data from your mobile device. Location data is collected only when location features are actively enabled and only during work-related use as configured by your employer. You may disable location permissions on your device at any time, though this may limit certain features.

(d) Communications Data

The Service includes messaging features. We process: SMS messages sent through the platform via Twilio, in-app messages between team members, and system notifications. SMS messages are transmitted through Twilio, our third-party communications provider. Message content is stored to provide the Service and is accessible to the relevant employer account.

(e) Device and Usage Data

We automatically collect: IP address, browser type and version, device type and operating system, pages visited and features used, and referring URLs and session duration. We use Vercel Analytics for aggregated, privacy-friendly website analytics. Vercel Analytics does not use cookies and does not collect personally identifiable information.

(f) Information from Third Parties

If you log in through a third-party service or if your employer connects third-party integrations, we may receive information from those services as authorized.

2. How We Use Your Information

We use personal information to: provide, maintain, and improve the Service; process account registration and authentication (including SMS-based one-time passwords via Twilio); facilitate workforce management features including scheduling, dispatch, time tracking, and team communication; send transactional SMS messages and system notifications; provide auto-translation of communications for multilingual teams; respond to support requests; detect and prevent fraud, abuse, or security incidents; comply with legal obligations; and develop new features and improve existing ones.

3. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

With Your Employer

If your account was created by or at the direction of your employer, your employer has access to your workforce data, communications, and other information generated through the Service as part of their legitimate business operations.

Service Providers

We share information with third-party service providers who help us operate the Service, including: Supabase (database hosting and authentication, US-hosted), Twilio (SMS messaging and OTP verification), and Vercel (hosting and analytics). These providers are contractually required to use your information only to provide services to us.

Legal Requirements

We may disclose information if required by law, regulation, legal process, or government request, or to protect the rights, property, or safety of Fieldbase, our users, or others.

Business Transfers

In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

4. Data Retention

We retain personal information for as long as necessary to provide the Service and fulfill the purposes described in this policy. When an employer account is terminated, we retain associated data for up to 90 days to facilitate data export, after which it is deleted. Certain information may be retained longer if required by law or for legitimate business purposes such as fraud prevention.

5. Data Security

We implement reasonable technical and organizational measures to protect your information, including encryption in transit (TLS) and at rest, access controls and authentication requirements, and regular security reviews. 6. Your Rights and Choices

All Users

You may request access to your personal information. You may request correction of inaccurate information. You may request deletion of your personal information, subject to legal and contractual obligations. You may opt out of SMS messages by replying STOP to any message. You may disable location tracking through your device settings.

California Residents (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act, including: the right to know what personal information we collect, use, and disclose; the right to delete your personal information; the right to opt out of the sale or sharing of personal information (we do not sell or share personal information as defined by the CCPA); the right to non-discrimination for exercising your privacy rights; and the right to correct inaccurate personal information.

If your account is managed by your employer, we may direct you to your employer for certain requests, as they are the data controller for your employment-related information.

7. Data Controller vs. Data Processor

For employer-managed accounts, your employer is the data controller — they determine what data is collected and how it is used in the context of your employment. Fieldbase acts as a data processor, processing data on behalf of and at the direction of your employer. If you have questions about how your employer uses your data through Fieldbase, please contact your employer directly.

For individuals who create accounts independently (such as administrators signing up for the Service), Fieldbase is the data controller.

8. SMS Communications

The Service uses SMS for one-time password (OTP) verification and workforce communications between team members and managers. By providing your phone number and using the Service, you consent to receive these messages. Message frequency varies based on your use of the Service. Message and data rates may apply. You may opt out of non-essential SMS messages at any time by replying STOP. Opting out of OTP messages may prevent you from accessing the Service. 9. Children's Privacy

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under 16. If we learn that we have collected information from a child under 16, we will delete it promptly. If you believe a child has provided us with personal information, please contact us at privacy@fieldbasehq.com.

10. International Data Transfers

The Service is hosted in the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and updating the "Last Updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
